Use cases

What you can do with your QuickBooks Online data in Excel.

For accountants running month end for many clients, and finance teams closing their own books.

Profit and loss by month, sub-accounts and all

Run Profit and Loss, multiple periods: set the month and how many periods, and your QuickBooks Online account structure comes through as it is. Or open Smart profit and loss for up to 36 periods with slicers.

Built with: Profit and Loss, multiple periods; Smart profit and loss template

Journal entries in bulk

Paste a month of journal lines into the Journal entries editor. Each line can carry a customer or vendor, a location, a class and a tax rate. Confirm, and Rows posts them.

Built with: Bulk Editor, Journal entries

A/R aging before you chase

Run A/R Aging Summary or Detail, or Customer Balance Detail, for each entity. Refresh it the morning you send reminders.

Built with: Manage Accounts Receivable reports

Bills without typing

Capture mode reads supplier bills from an upload, a folder or email. It takes the supplier and dates from each bill, adds the entity's tax code and the class from its business profile, and puts each line in a sheet to check before anything posts.

Built with: Capture mode

Run reports

Your QuickBooks Online reports, as live Excel tables.

Pick a report, set the period and press Run Report. You get QuickBooks Online reports, or the raw data behind them in 30+ data tables, as normal Excel tables you can format and chart. Pull the same report for each entity and compare them side by side.

Security

Your QuickBooks Online data stays yours.

You control the connection

You sign in on Intuit's own page, so Rows never holds your Intuit password. Revoke access there at any time.

Your figures are read live

Reports and posting read your figures live. Rows keeps only the documents you send to Capture, and any data copy you ask for until its download link expires.

Nothing posts until you confirm

Posting from Excel or Capture mode always goes through an approval step before anything changes in QuickBooks Online.

Rows MCP vs Intuit's MCP server

QuickBooks Online has its own MCP server. Rows MCP covers every client.

Intuit has its own QuickBooks Online MCP server, still in beta and open to US customers only, and an open-source one you build and run yourself with a developer app. Rows MCP works outside the US with nothing to build, then adds what a firm with many clients needs: several entities in one question, clients on Xero, QuickBooks Online and Zoho Books alike, and the same figures in Excel to check before anything posts.

Rows vs QuickBooks Online import

Imports are free. Rebuilding the file every month isn't.

QuickBooks Online's import and export are fine for a one-off job. For month end, every exported report is out of date once the books change, and every import needs a new file. Rows works from the sheet you already have open.

FAQ

Your questions, answered.

More in the help centre →

Does QuickBooks Online integrate with Excel?

QuickBooks Online can export a report to Excel, but the file won't update, and its Spreadsheet Sync add-in comes only with QuickBooks Online Advanced and Intuit Accountant Suite. Rows works with every QuickBooks Online plan: it pulls live reports and records into Excel, refreshes them in one click and posts changes back.

How do I connect QuickBooks Online to Excel?

Add Rows for Excel from Microsoft Marketplace, open the Rows pane and sign in. Add your QuickBooks Online entities, choose a report and press Run Report. It lands as an Excel table you can refresh.

Can I export QuickBooks Online reports to Excel and keep them up to date?

Yes, without exporting. Rows pulls the report into Excel once. Press Refresh for the latest QuickBooks Online figures, or switch on Automatic Refresh and it updates each time you open the workbook.

Which QuickBooks Online reports can I pull into Excel?

Rows pulls more than 30 QuickBooks Online reports into Excel, including trial balance, profit and loss and balance sheet over several periods, multi-currency versions of the trial balance and balance sheet, aged receivables and payables, and the general ledger. It also brings in more than 30 raw data tables and two ready-made report templates: the Management report and Smart profit and loss.

Can I import journal entries into QuickBooks Online from Excel?

Yes. Rows has a Bulk Editor for journal entries, and for invoices and bills, purchase and sales receipts, vendors and customers and more: 11 editors in all. Type or paste the lines in Excel, set Post? to Yes on the ones to send and confirm. Posted lines switch off, so nothing posts twice.

Is there a QuickBooks Online MCP server? Why use Rows MCP?

Yes, two. Intuit's own server is in beta and open to US customers only, and its open-source one is something you set up yourself. Rows MCP works outside the US with no developer setup, also covers Xero and Zoho Books, lets any AI tool ask across several entities, and puts the same figures in Excel to check before anything posts.

Does it work with more than one QuickBooks Online entity?

Yes. Connect every entity you look after and pull the same report for each, side by side in one workbook. Clients on Xero sit in the same list.

Is it safe to connect QuickBooks Online to Rows?

Yes. You sign in on Intuit's own page, so Rows for Excel never holds your Intuit password, and you can revoke access there at any time. Reports read your figures live without storing them on Rows servers, and nothing is posted to QuickBooks Online until you confirm it.

Does Rows work with Excel for Mac?

Yes. Rows for Excel runs in Excel for Windows and Excel for Mac, so you can bring QuickBooks Online data into either. Install it once from Microsoft Marketplace.

Open Excel. Connect QuickBooks Online. Run Report.

Free trial, no card needed.

QuickBooks Online is included in every Rows plan. See plans and prices →
