Three ways in
Bills come by email, land in a shared cloud folder or arrive as a pile of paper. Capture mode takes all three, and you start each one from the Rows pane in Excel.
Upload
Pick a photo or PDF from your computer and upload it from the Rows pane.
Forward bills from Outlook, Gmail or any inbox to the address Rows makes for that entity. They wait in Excel for you.
Linked folder
Link a cloud folder once. Bills you or your client save there come into Rows to check.
How it works
Rows reads each bill and codes every line before it reaches your sheet. So you're reviewing finished work, the way you'd look over any other workpaper, not typing it in.
AI reads
AI codes
You review
The work is done when it reaches Excel. You look it over line by line, fix anything, and nothing posts until you say so.
AI reads the photo or PDF: the supplier, date, amounts, VAT and every line on it.
It works out what each line is and fills in the account code, tax rate and tracking category from the entity's own chart of accounts.
Everything arrives filled in, so you only change what you'd code differently. Then post to Xero or QuickBooks Online when you're happy.
Per platform
So Capture mode works the way each one does.
Rows codes each line and you check it in a sheet, then post to Xero as a draft, awaiting approval or authorised.
Rows takes the supplier and dates from each bill, adds the entity's tax code and the class from its business profile, and puts each line in a sheet to check before anything posts.
Rows reads the supplier, dates, amounts, VAT and each line, and puts them in a sheet for you to check.
Why in Excel
Captured lines land in a sheet you already know your way around, already coded. Where you'd code one differently, change it and fill it down, sort by supplier, test the totals with your own formulas, then post the lot in one go.
What it costs
Each plan comes with Capture documents every month. A document is one bill, receipt or invoice that Rows reads. Any it can’t read don’t count. The free trial includes 50.
The allowance is shared across all your entities. Use it wherever the bills arrive.
| Plan | Documents a month |
|---|---|
| For businesses | |
| Business | 50 |
| Business Plus | 250 |
| For accountants | |
| Practice | 100 |
| Firm | 400 |
| Each extra entity, any plan | +10 |
| Top-up | A month | Each |
|---|---|---|
| +50 documents | €8 | €0.16 |
| +100 documents | €14 | €0.14 |
| +200 documents | €24 | €0.12 |
Security
Posting from Excel or Capture mode always goes through an approval step before anything changes in your books.
Reports and posting read your figures live. Rows keeps only the documents you send to Capture, and any data copy you ask for until its download link expires.
You sign in on your platform's own page, so Rows never holds your password. Revoke access there at any time.
Email us and a person on the team that builds Rows writes back, within 24 hours on working days.
One bill, receipt or invoice that Rows reads. Reading the same bill again counts again, and one Rows can’t read doesn’t count. If you run out, add a top-up of 50, 100 or 200 documents a month. Unused documents don’t roll over.
Yes. The Capture documents in your plan are one monthly allowance for all your entities, not a set number for each. Use them wherever the bills arrive: all 250 on one entity in Business Plus, say, or a few on each. Documents from extra entities and top-ups go into the same allowance.
Photos and PDFs. Upload them from the Rows pane, forward them to the entity’s capture address, or save them to a linked OneDrive, SharePoint or Google Drive folder.
Yes, through Rows. Each entity gets its own capture address. Forward a bill to it and the lines wait in Excel for you to check, and nothing goes to Xero or QuickBooks Online until you post.
No. Rows codes every line for you, but each one goes into a sheet first, and nothing posts until you confirm it.
With QuickBooks Online, yes: Rows takes the supplier and dates from each bill, adds the entity’s tax code and class, and posts when you say so. QuickBooks Online has no draft or approval statuses, so there’s nothing to pick. With Zoho Books, Rows reads each bill into a sheet for you to check.
Yes. Rows reads each bill in the file on its own, and each one it reads counts as one Capture document: a PDF of ten receipts uses ten.
Start the free trial, connect your entities, then upload a bill from the Rows pane and check its lines in Excel.
